The Complete Real Estate Transaction Checklist: From Contract to Close
Real estate transactions involve a lot of moving parts. From the moment a contract is accepted to the day keys change hands, there are dozens of deadlines, documents, and tasks to manage.
This checklist covers every major milestone in a typical real estate transaction, so you can make sure nothing falls through the cracks.
Phase 1: Contract and Earnest Money
- Contract signed and executed by all parties
- Earnest money deposit delivered within the deadline (typically 1-3 days)
- Copy of signed contract distributed to all parties
- Transaction entered into your tracking system with all milestone dates
Phase 2: Due Diligence and Inspections
- Schedule home inspection within the inspection period
- Review inspection results with client
- Negotiate repairs or credits if needed
- Due diligence period ends — client must decide to proceed or terminate
- Inspection contingency removed (if applicable)
Phase 3: Financing and Appraisal
- Buyer submits loan application to lender
- Lender issues loan estimate and starts underwriting
- Appraisal ordered (typically by lender)
- Appraisal contingency deadline — buyer can renegotiate if appraisal comes in low
- Financing contingency deadline — loan must be approved or contingency removed
- Final loan commitment issued
Phase 4: Title and Legal
- Title search completed and reviewed
- Title issues resolved (liens, encumbrances, etc.)
- Title insurance ordered
- Attorney review period completed (if applicable in your state)
- HOA documents reviewed (if applicable)
Phase 5: Pre-Closing
- Final walkthrough scheduled (typically 24-48 hours before closing)
- Utility transfer instructions provided to buyer
- Closing disclosure reviewed by buyer (at least 3 days before closing)
- Funds verified — buyer's cash to close confirmed
- Closing location and time confirmed with all parties
Phase 6: Closing Day
- Final walkthrough completed
- All parties sign closing documents
- Funds dispersed
- Deed recorded
- Keys handed over to buyer
- Transaction status updated to 'closed'
Phase 7: Post-Closing
- Closing congratulations sent to client
- Utility reminder sent (if not already done)
- File archived and documented
- Follow-up scheduled for 30-day check-in
