How to Onboard New Real Estate Clients After Contract Acceptance

The moment a contract is accepted, your client's anxiety spikes. They've just committed to the biggest purchase of their life, and they don't know what happens next.

How you handle the first 48 hours sets the tone for the entire transaction. A strong onboarding process makes clients feel confident and supported. A weak one leaves them anxious and calling you constantly.

Step 1: Send a Welcome Message Immediately

Within hours of contract acceptance, send a welcome message that:

  • Congratulates them on getting under contract
  • Briefly outlines what happens next (inspection, appraisal, etc.)
  • Tells them how and when they'll receive updates
  • Gives them a timeline they can reference anytime

This immediately reduces anxiety because clients know what to expect.

Step 2: Set Communication Expectations

Tell clients exactly how communication will work during the transaction:

  • How often they'll receive updates (e.g., before each milestone, plus a weekly check-in).
  • What channel you'll use (email, text, phone).
  • What to do if they have questions between updates.
  • That they can check their timeline anytime via a shareable link.

When clients know the communication plan, they stop worrying about being left in the dark.

Step 3: Walk Through Key Milestones

Don't assume clients understand the transaction process. Walk them through the key milestones:

  • Inspection period — what it is, when it happens, what they need to do.
  • Due diligence — what they're checking for and the deadline.
  • Financing contingency — what it means and when it expires.
  • Appraisal — why it matters and when it's scheduled.
  • Final walkthrough — what to look for and when it happens.
  • Closing day — what to expect and what to bring.

This doesn't need to be an hour-long meeting. A clear, written summary they can reference is often enough.

Step 4: Get SMS Consent Early

If you plan to send SMS reminders, get consent during onboarding — not later when you're rushing to send a reminder. This ensures you're TCPA-compliant from the start.

Step 5: Enter Everything Into Your Tracking System

Once you've onboarded the client, enter the transaction into your tracking system with all milestone dates. From this point forward, reminders should go out automatically — you shouldn't have to think about them again.
